Utrecht & Jaarbeurs host Future Green City World Congress

At the end of September 2024, Utrecht was the epicentre of the Future Green City World Congress. This event, an international meeting point for experts in sustainable cities, provided over 200 specialists and 1,400 participants with a unique opportunity to delve deeper into the cities of tomorrow.

The congress was an initiative by the Royal Association for Urban Development in the Netherlands (Stadswerk Nederland) and the Royal Dutch Society for Garden Designers and Landscapers (VHG). These two umbrella organisations, which had previously held their own conferences, decided to join forces for this 2024 event. Their decision reflects the fact that urban development and green spaces go hand in hand, and the initiative blossomed into an international congress that attracted 1,400 participants from 60 countries. Organising such an event was no small feat, however, taking two and a half years to bring to fruition.

Aligning event goals 

The first task for event organiser VNG Connect was to select the host city through a tender process, as project leader Marc Gerritsen explains: “The municipality of Utrecht was one of the respondents and, together with Royal Jaarbeurs, submitted a bid book. This gave us the confidence to choose Utrecht as the host city and Jaarbeurs as the main venue. Our reasons for this decision included accessibility, the central location, and the proximity of hotels. The congress themes and sustainability ambitions of Jaarbeurs as an organisation also aligned seamlessly with the theme of the congress.”

Engagement and cooperation

Kelly van der Velden-Otten, account and event manager at Jaarbeurs, smiles as Marc shares this. “Utrecht has become an increasingly sought-after location for conferences, and that demand revolves around more than just price and availability. Utrecht is also a region that places a strong emphasis on health through its ‘Heart of Health’ initiative, which goes beyond healthcare to explore ways of creating a better living environment in our cities. This focus aligns perfectly with the Future Green City World Congress.

“That said, let’s not forget how easily accessible Jaarbeurs is for international participants, being just 30 minutes from Schiphol and adjacent to Utrecht Central Station. In addition, as an organisation, Jaarbeurs is exceptionally well-equipped to host these kinds of international congresses. We are flexible, welcome the chance to brainstorm with our partners, and have the necessary expertise in-house. We also enjoy engaging in conversations with our clients, including discussing the specific goals for each event. Based on that, we assess which areas within the complex are most suitable.”

Marc wholeheartedly agrees and, having worked with Jaarbeurs in the past, highlights the team's reliability and responsiveness as additional valuable aspects. “A deal is a deal at Jaarbeurs,” he says. “The people think in terms of solutions, and while there are clear boundaries in place, there’s always room to search for alternatives. I’ve dealt with other venues that are often unwilling to adapt, but that simply doesn’t happen at Jaarbeurs.”

Working together to achieve the best result

Both Marc and Kelly can now look back on a successful congress. “It was a unique journey,” says Kelly. “It’s great when you’ve been involved from day one and part of the initial conversations. You then start searching for the right spaces and, step by step, work together to shape the event. More and more stakeholders joined us, each with their own interests. It was quite a task to get everything organised, but eventually the moment came when we knew we were ready. The time had come! And when it’s all over? That’s when the real enjoyment begins.”

International success

The Future Green City World Congress was a major success. It brought together a diverse audience—from urban planners to environmental experts—all united by a common purpose: exchanging ideas and solutions that contribute to a greener future for cities. The plenary sessions and workshops were highly inspirational, showcasing the application of innovations such as green roofs, circular construction, and smart urban planning. Participants also looked back on the event with enthusiasm, awarding both the congress and the venue an impressive rating of 8.5.
